Implementation

You have heard all about the great features you get with Delivered! our fixed price, fixed outcome implementation method for the distribution industry, as well as being informed of the licensing information you need to get started.

You will now be wondering how this is all implemented! Our implementation timeline can be found below. It outlines every month of the implementation, what happens, by who and when.

We will conduct an initial Welcome Call where we will introduce to you the implementation process and the On-Boarding course so that you will know what to expect. After this, there will be a Kick-Off Call to agree your Go-Live date, confirm the scope and extra packs required, your project timeline of who does what, and when and agree the next steps.  

After this, we have a Business Process Walkthrough Session where we show you what some of your day-to-day tasks will look like within Dynamics 365 Business Central, such as purchase to pay, order to cash, inventory and warehousing. We will also discuss the most appropriate configurations for your business processes. 

You will complete our Onboarding Course, which will guide you through the data migration process, how to test your system during the implementation project and how to successfully train your colleagues so they can use the system too.

Using the Excel templates we will provide you with, you will be required to send us some sample data – for example 5 customers, items etc. Your nominated Key Users will also start month 1 of Key User Training, which will cover how to use the system, split into functions. All Key User Training is delivered by real-life trainers who get to know your business and offer the opportunity for you to ask questions when things aren't immediately 100% clear. This training will use the provided sample data and give your key users the tools they need to train other colleagues within your organisation.

Following the training sessions, we will conduct a review to ensure you understand the functionality shown and will also continue fine-tuning your Dynamics 365 Business Central system.

Your Key Users will continue with Key User Training (remember, it's real-life and interactive training - no getting bored watching hours of video) which is split into functional sections. Following each training session, we will hold reviews to ensure you continue to understand the system, as well giving you the opportunity to ask any questions that you may have. Your Key Users will also start to train your other Dynamics 365 Business Central users, using the knowledge they have learnt during their own training sessions. This may be specific job functions for specific job roles. You will also use the data templates provided earlier in this process to send us your complete customer and item data.

We will import all your data (customers, vendors, items and opening balances) into the new system and review the migrated data with you to ensure you are happy with the upload. The main configuration of Dynamics 365 Business Central is complete, however, there may be some tweaks to make when you go away and test the system after import.

We want to ensure that you are completely comfortable using your new ERP system, so you will dedicate 2 weeks to User Acceptance Testing. This testing verifies that the solution works for your users, the configuration and security settings have been set up correctly, your data has been correctly migrated and you can run your business using Dynamics 365 Business Central end-to-end.

The final data migration takes place, including any opening balances that need to be uploaded and any updated data since the initial data import, such as new customers, suppliers etc.

It’s time to go! You will get extended go-live support for 2 weeks, as well as extra support to make sure your first month-end goes smoothly. We will be on hand during this time to answer any questions you may have help you to close the ledger and run any reports you need.

Finally, we will hand you over to our dedicated support team who will be on hand after go-live to help with any queries or problems you may have.

Dynamics 365 Business Central Licensing

Everyone who’s going to be using Dynamics 365 Business Central needs a licence to use the software. But don’t worry, Business Central licensing is straightforward and easy to understand. Simply put, you just pay for what you need for each user on a monthly subscription.

Business Central Essentials Licence

The majority of your users will be named users that can access every part of the system using a Dynamics 365 Business Central “Essentials” licence.

There is no need to upgrade to a “Premium” licence as that’s for companies who also manufacture.

Business Central Team Member Licence

You may want to add one or two Team Member Licences for people who simply want to view information, reports or dashboards.

However, its read-only access to all data with the exceptions of scenarios such as expense entry or updating contacts.

Business Central Device Licence

For those all-important barcode scanners in the warehouse, you’ll need a Dynamics 365 Business Central device licence. 

With our barcode scanning app Clever WMS Devices, they’ll deliver up-to-the-second stock availability plus increased warehouse efficiency and capacity.

Other Licensing Considerations for Dynamics 365 Business Central

  • Length of contract. The above pricing is based on a 12 month contract period with 24 and 36 month contract periods also available. For an additional cost, there is also a 30 day rolling contract. 
  • A Dynamics 365 subscription (aka Office 365) is required so you make the most of all the amazing Microsoft integrations with Outlook, Excel & Teams.  
  • Our Delivered! implementation approach is only available for distribution companies licensing between 7 and 25 users.
